Background A coaching company is starting to build its base of coaching clients and needs a way of capturing information relating to individual coachees, their coaching sessions, pricing and billing information and other relevant details and attachments. As well as individual coaching clients, we also have the potential to be running large scale coaching programmes where there might be one client with a number of coachees. What is required? A simple and easy-to-use database—most likely built using Microsoft Access—which can be password protected to help keep information confidential. Level 1: This would be a form for users to enter basic client information (i.e. the person or company who is paying Wheelhouse for coaching services). Required fields would include: • Client Contact name • Company • Address • Phone • Mobile • Fax • Project Manager • Etc The first screen users of the database should see is an index of the clients, allowing them to click into the section containing detailed information on individual clients, as well as the coachees and coaching sessions for that client. Level 1a: A separate form, accessed from the level 1 form, needs to be included to allow for easy access to billing/contractual information: • Billing address • Contract details • Purchase order number • Payment terms • Agreed pricing Level 2: Each level 1 form would have a section with a list of the coachees which have been added under that client. By clicking on the coachees details, users would be able to access detailed information on the individual coachees. This would consist of: • An initial form containing basic information on the coachee – • Coachee Contact name and details • Client brief/objectives • Coachee brief/objectives • Name and contact details of the coach • Expected number of sessions • Expected frequency of sessions • Location of sessions • Coaching Contract • Confidentiality Agreement • Assessment required • Evaluation Notes • An area listing the sessions and dates held • A function to attach documents relevant to the overall coaching programme (e.g. Coaching Needs Analysis, Personal Learning Plan, assessment report) Level 2a: From the initial form in level 2, users would be able to click on a particular session they wanted to view. Within that session, users might find: • Notes on what happened in the session • Notes on what follow up is required by the coach and the coachees • A function to attach documents relevant to the session (most likely in MS Word or Outlook format) • Coaching model/tool used • Reflection Notes • Evaluation Notes This job has been completed.
